An outdoor living product industry leader enters an estimated 66,000 sales orders for standard products each year. Previously, this process was completed through manual data entry by a team of Customer Service Representatives (CSRs). The industry leader wanted to improve their order to cash process and explored implementing a digital transformation platform. By eliminating manual data entry with sales order automation, their goal was to create more time for CSRs to focus on value-added activities. Most importantly, this included following up with customers to enhance and ensure a positive customer experience.
The industry leader was struggling to process the increasing volume of monthly sales orders with their current staff. Their challenges included:

The initial focus of this implementation was on standard orders and the 10 largest volume customers. This provided the quickest ROI and shortened the time-to-value proposition. The solution was simple, yet effective. An OCR tool was leveraged to read sales order data and output to an Excel file. Then an automated form and workflow process took the data and matched customer Sold-to and Ship-to records as well as materials against SAP. Once all the data was confirmed, the order was automatically entered into SAP via VA01. The automated process also attached supporting documents to the order. If there was an error in any part of the sales order automation process, the workflow was routed to a CSR to fix.
By eliminating manual data entry, the industry leader improved customer, as well as employee satisfaction. Additionally, the reduction in time to complete the order to cash process increased top-line revenue and bottom-line profit.
